Our refund and cancellation policy is designed to be transparent, fair, and flexible while covering the operational costs involved in organizing your trip. We strongly recommend all travelers read the following terms carefully before booking.

Cancellation by the Customer

If you need to cancel your booking, please notify us in writing via email at bharatexplorertours@gmail.com. The following cancellation charges will apply depending on the time of cancellation before the tour departure date:

• 30 days or more before departure: 90% refund (10% service charge retained)

• 15–29 days before departure: 50% refund of the total tour cost

• 7–14 days before departure: 25% refund of the total tour cost

• Less than 7 days before departure or no-show: No refund

Note: Some tours, hotels, and transport services have specific non-refundable conditions, which will be clearly mentioned at the time of booking.

Cancellation by the Company

In the unlikely event that Bharat Explorers Tours cancels your tour due to unforeseen circumstances such as natural disasters, government restrictions, or insufficient participation, we will offer one of the following options:

• A full refund of all payments made, or

• A credit voucher of equal value to be used for future travel within 12 months

We are not liable for any additional expenses incurred due to the cancellation (such as flight tickets, visa fees, or insurance).

Refund Processing Time

All eligible refunds will be processed within 7–14 business days after receiving a formal cancellation request. Refunds will be issued through the same mode of payment used at the time of booking. Bank or transaction fees (if any) are non-refundable.

Non-Refundable Services

Certain components of travel packages are non-refundable once booked, such as:

• Flight or train tickets issued under non-refundable fares

• Hotel bookings during peak season or under special promotions

• Visa application fees

• Travel insurance policies

These will be clearly communicated to you at the time of booking.

Amendments and Date Changes

If you wish to modify your travel dates or itinerary, please inform us as soon as possible.

• Amendments made 15 days or more before departure may be accommodated subject to availability and applicable change fees.

• Changes made less than 15 days before departure may incur full cancellation charges depending on supplier policies.

No-Show Policy

If a traveler fails to join the tour or is unavailable at the designated time and place, no refund or rescheduling will be applicable. It will be treated as a last-minute cancellation.

Force Majeure

Bharat Explorer Tours shall not be held responsible for cancellations or interruptions caused by circumstances beyond our control, including natural disasters, strikes, pandemics, political unrest, or acts of God. In such cases, refunds will be subject to service provider terms and the agency’s discretion.
